RSBS Technologies Private Limited (“Company”, “we”, “our”, or “us”) operates the Simpli Human Resource Management System mobile application (“App” or “Simpli HRMS”).

This Privacy Policy explains how we collect, use, store, and protect personal information of users (“Employees”, “Users”) who access the App. The Simpli HRMS App is intended only for authorized employees of organizations using Simpli services .

1. Information We Collect

a) Personal Information

  • Full name
  • Employee ID
  • Email address
  • Phone number
  • Date of birth (for birthday notifications)
  • Date of joining (for work anniversary tracking)

b) Employment & HR Information

  • Attendance records
  • Leave applications and leave balances
  • Payslip and payroll information (view-only access)
  • Department, role, and designation details

c) Location Information

  • Location data at the time of marking attendance

Important: Location data is collected only when an employee marks attendance. We do not track users continuously or in the background. Location access is required solely to validate attendance authenticity.

d) Technical & Device Information

  • Device type and operating system
  • App version
  • IP address (for security and audit purposes)

2. Purpose of Data Collection

We use collected data to:

  • Authenticate users and manage employee login
  • Mark and validate daily attendance
  • Enable leave application, approval, and tracking
  • Display attendance history and payslips
  • Show organizational dashboard insights such as:
    • New employee joinings
    • Employee birthdays
    • Work anniversaries
  • Maintain HR records and internal compliance
  • Improve application security and performance
  • Meet statutory and legal obligations

3. Use of Location Data

Location data is used strictly for:

  • Verifying employee presence during punch-in and punch-out
  • Preventing misuse or fraudulent attendance
  • Supporting company-specific attendance policies

Location data:

  • Is collected only with user consent
  • Is accessed only during attendance marking
  • Is not shared with other employees

4. Data Sharing and Disclosure

RSBS Technologies Private Limited does not sell, rent, or trade personal data.

  • With the employer organization to which the employee belongs
  • When required by applicable law, regulation, or court order
  • With trusted service providers (such as hosting or security providers) under strict confidentiality obligations

  • Attendance and payroll data may be retained for statutory compliance
  • Data may be deleted or anonymized:
    • Upon employee exit (as requested by the employer)
    • Upon termination of the employer’s contract with RSBS Technologies Private Limited

Employees may:

  • Access their personal and attendance data
  • Request correction of inaccurate information
  • Request deletion of personal data through their employer or HR administrator

8. Children’s Privacy

The Simpli HRMS App is not intended for individuals under 18 years of age. We do not knowingly collect personal data from minors.

9. Employer Responsibility

Simpli HRMS is provided as an enterprise platform for workforce management. Each employer organization is responsible for:

  • Informing employees about data usage
  • Obtaining necessary employee consents
  • Using employee data in compliance with applicable labor and data protection laws

This Privacy Policy is governed by and complies with:
